IN-HOUSE CASE STUDY · PILOT IN DEVELOPMENTTonga Cottages:
designing a more connected accommodation business.
A practical automation pilot built around real operational needs. The work is in development; outcomes have not yet been measured.
The challenge.
As an accommodation operation grows, bookings, guest messages and day-to-day tasks need to stay coordinated. This project aims to bring those workflows together and reduce repetitive administration.
Project status
Develop.
Test.
Measure.
Planned capabilities are described below. Their inclusion is not a claim that they are already live.
The proposed operational workflow
- Coordinate booking and availability information.
- Organise enquiries and guest communications.
- Provide check-in information and reminders.
- Track payments and outstanding actions.
- Coordinate housekeeping, transfers and maintenance.
- Bring management information into reporting views.
Approval stays
with the owner.
Calendar blocks remain subject to owner approval. Sensitive actions need clear review and escalation points. Integration behaviour and failure handling will be tested before relying on automated workflows.
What will count as evidence?
Before publishing results, establish a baseline and compare equivalent operating periods. Record which workflows were active, the sample size and any limitations.
Administration effort
Time spent on defined tasks before and after a tested workflow is introduced.
Guest communication
Response times, handovers and whether guests receive accurate information.
Operational reliability
Calendar conflicts, missed tasks, payment follow-ups and integration failures.
No hours saved, booking increases, response-time improvements or revenue gains are claimed. Results will be added only after implementation and measurement.
